BA Global Talent is supporting the U.S. International Development Finance Corporation (DFC) in the search for a highly organized and detail-oriented on-site Executive Assistants (EAs) to provide critical administrative support to Senior Leadership at the DFC office in New York City.
You will provide full-time, on-site administrative support to Senior Leadership. This role requires strong organizational skills, discretion, sound judgment, and the ability to manage multiple priorities simultaneously. Additionally, you must also be able to provide backup coverage for planned absences exceeding three (3) business days and unplanned absences exceeding five (5) business days, ensuring continuity of executive support functions.
The DFC is financing solutions to the most critical challenges facing the developing world today. Working with businesses, we mobilize private capital to invest in projects that create jobs and opportunities in emerging markets, including building critical infrastructure, expanding access to telecommunications, and providing small business financing for women entrepreneurs.
Responsibilities:
Organizing and prioritizing the high incoming flow of work for the Senior Leader and/or their office.
Responding to and scheduling requests for meetings, invitations, and requests to participate in special events, booking official appointments and meetings.
Greeting and escorting guests at DFC NYC office.
Maintaining a control and follow-up system for incoming workload and correspondence to ensure timely responses.
Drafting and proofreading correspondence, reports, and other documents for the Senior Leader/Senior Leader’s office.
Managing incoming and outgoing communications, including phone calls and mail.
Assisting with travel coordination and voucher processing for the office.
Maintaining records and databases, including tracking projects and deadlines.
Coordinating with other departments and stakeholders on administrative projects, data calls, and workplace analysis for the Senior Leader/Senior Leaders' office.
Process internal ethics clearances for speakers’ participation at events or widely attended gatherings.
Supporting the procurement and acquisition process for the office with the supervision of the OCE Administrative Program Manager.
Provide backup executive support coverage as needed.
Other administration tasks as required.
Qualifications:
Must be a U.S. Citizen.
Must possess at least an active Public Trust clearance, or a higher-level clearance eligible for transfer into the agency.
Minimum of 3 years of experience providing administrative support in a federal environment or in other comparable sectors such as state/local government, corporate offices, nonprofit organizations, or similar professional settings.
Bachelor’s degree in Business Administration or related field preferred (not required).
Detail-oriented, flexible, and sound professional skills, with the ability to take responsibility for multiple tasks/projects and deadlines simultaneously.
Excellent verbal and written communication and grammatical skills.
Ability to perform effectively with limited supervision in a high-paced environment.
Experience drafting professional correspondence and executive documentation.
Experience coordinating travel and processing vouchers.
Familiarity with procurement or acquisition support processes.
English and Spanish or English and Portuguese are preferred, but not required.
Travel: Some domestic travel may be required between Washington, DC and New York City.
Compensation:
Junior/Mid-Level Executive Assistants: Up to $75,000 annually, depending on qualifications and experience.
Senior Executive Assistants: Up to $100,000 annually, depending on qualifications, clearance level, and relevant experience supporting executive leadership.
On-Site: New York City
Schedule: 8 hours a day. Must cover DFC core hours of 9 AM – 3:45 PM, with flexible start and end times between 7 AM and 5:45 PM, Monday through Friday.
